When you’re building patient segments or exporting patient data from the Patient list in Peptalkr, you may notice some information is missing or doesn’t behave the way you’d expect. This is intentional and based on best-practice security recommendations to protect your patients’ privacy.
Peptalkr deliberately limits the patient data shown in your marketing list to keep things simple, safe, and compliant.
❌ No year of birth or age targeting (default year shows as 1970).
❌ No mobile numbers in exports (available only in Cliniko).
❌ No full addresses or sensitive medical details.
✅ Safe access to the information you do need for effective email marketing.
If you’re ever unsure how to achieve a particular campaign, feel free to reach out to our team—we’re here to help you find the safest workaround.
1. Date of birth (year of birth excluded)
You’ll see that all patients in your marketing list have a default year of birth (1970). This is because:
Exact birth dates and ages are not shared from Cliniko into your marketing list.
This decision was made in consultation with Cliniko, who strongly advised against storing patient ages or birth dates in external systems.
As a result, age-based targeting isn’t possible in Peptalkr.
Workarounds:
If you want to include or exclude some paients based on age (Children for example) - you can build a segment that excludes appointment types or categories specific to children.
Alternatively, you can run a patient export directly in Cliniko and filter by birth date there.
2. Mobile numbers
Patient mobile numbers are also intentionally excluded from your Peptalkr email marketing list exports because:
A mobile number is considered sensitive personal information.
The more places this data is stored and can be exported from, the greater the risk of misuse if access were ever compromised.
Cliniko recommends keeping this data exportable only where it’s truly needed—in your Cliniko account itself.
What you can do instead:
If you need to manually send an SMS campaign to a specific segment, you can export mobile numbers from Cliniko:
Go to Settings → Data exports.
Select Patients and choose your desired date range.
Use Excel or Google Sheets to filter by month of birth, date ranges, or other criteria.
3. Other sensitive data
In line with Cliniko’s security guidance, the following are also not included in Peptalkr email marketing lists:
Full patient addresses
Medicare/insurance details
Medical notes or clinical history
Peptalkr is designed to use only the minimum necessary data to deliver safe, effective email marketing. This ensures:
You can still run powerful patient campaigns.
Patient privacy is protected.
You reduce the risk of sensitive data being exposed outside Cliniko.
