ℹ️ Who this tutorial is for

Want to group patients in an email marketing segment based on which business or location they’ve visited in your Cliniko account? This guide shows you how to use Peptalkr's custom fields to create segments for patients who attend a particular site — great for multi-location practices or businesses with separate divisions (e.g. Pilates Studio vs Physiotherapy Clinic).

Peptalkr syncs location and business data from Cliniko into your patient marketing list. This allows you to create marketing segments based on:

  • Whether they’ve ever attended a specific business

  • Where they last had an appointment

  • Where their next appointment is scheduled

One of the most flexible ways to do this is by using the Businesses Visited field.

👉 Businesses Visited pulls from the Display Name of your businesses in Cliniko's settings. If you haven’t set a Display Name, it will use the Business Name. We recommend giving each business a unique Display Name to avoid confusion.

How to do it


  1. Go to the 🔗 Send email tab in Peptalkr

  2. Go to Lists & Subscribers > Patients

  3. Click Segments > Create a segment

  4. Name your segment – e.g. North Sydney Clinic Patients

  5. Add a rule using a custom field, such as:

    • BusinessesAttended contains North Sydney Clinic

    • LastBusinessVisited is Sydney CBD Practice

    • NextAppointmentBusiness is Byron Bay Wellness

  6. Press Save segment to preview who is in it

Custom fields to use:


Custom Fields in your patient list are simply 'Custom attributes from your Cliniko configuration'. These are automatically created, and update themselves if your Cliniko configuration changes. ❌ Do not edit your custom fields.

Business location of the patient’s most recent appointment

or:

  • Next Appointment Business City

  • Next Appointment Business Display Name

Business location of their next upcoming appointment

💡Tip: Want to target only people who visit one business but not another? Use Businesses Visited contains [X] and Businesses Visited does not contain [Y] to narrow your focus.

✅ That’s it! Your segment is now ready to be used in Campaigns or Journeys. This is now saved and can be used in Campaigns or Journeys.

⚠️ Segments are not applicable to Transactional email. They are just for marketing segmentation. Transactional email allow you to configure with even more specificity who to target, as part of the trigger creation process.
