Time: 10 minutes
Prerequisites: You have Cliniko connected to Peptalkr
Step 1: Create your email (5 minutes)
Go to Email manager → Transactional → Click Create an email
Name it:
Reactivation - 30 daysSubject line:
How are you doing [patientfirstname]?From name: Your clinic name (or use
[practitioner]to make it from their treating practitioner)From email: Click show my domains and select a domain to send from
Enter anything before the @ symbol (learn more)
Verify your own domain or send from our domain @peptalkr.app
Add recipients to a list: Select "Don't add to a list"
Now the Build your email button will turn green - click it!
Choose a template
We've set you up with stunning email templates if you completed the personalised templates quiz - make sure you complete that step during onboarding or chat to us if you think you're missing the templates (or have old ones!)
Click My Templates
Select the 📫 Recall Letter template to open the email builder
Customise the template
This template is ready to go with your brand and colours.
Now to use the drag & drop email builder:
You can customise it more later, but for now:
Check the message is appropriate for your clinic
Add in some text to the Helpful tip box to add a nice touch to your email
Make sure your booking link button is set up correctly
Add/remove anything else you need
Click Preview to see how it looks
Click I'm done, return to snapshot
Scroll down and make sure you press Finish (no need to test it yet)

Step 2: Connect a trigger (3 minutes)
You'll see a message saying Ready to start triggering. So head over to the Email Triggers screen.
Click the plus button to create a trigger
Name it:
Reactivation - 30 days (No booking)Trigger type: Automated Recurring
Marketing email? No
When to send: After an appointment has been attended
Timing: 30 days
Filters: Leave blank for now (applies to ALL appointments)
Frequency: Every time the conditions are met
Is this a recall? YES - Tick this box
This is CRITICAL - it ensures the email only sends if the patient hasn't already rebooked
Choose: Of any kind (most common choice)
Template: choose "Reactivation - 30 days"
Click next to see a summary, then click Finish.
💡 What does "Is this a recall?" do? It tells Peptalkr to only send this email if the patient has NOT scheduled or attended another appointment. Without ticking this box, they'd get the email even if they already rebooked!
Step 3: Test it (2 minutes)
Now let's see what it will look like for a real patient with dummy data inserted.
From the triggers screen, click the test icon (little email symbol) next to the trigger you just created
Check your inbox - you should get a test reactivation email
Check that: it looks good and the booking link works
Looks good? Turn the trigger ON!

What happens now?
Every time a patient attends an appointment:
Peptalkr waits 30 days
If they haven't scheduled or attended another appointment, it sends them a friendly reminder
If they DO rebook during those 30 days, the email won't send
This runs automatically for every appointment, forever
Want to create a recall series?
Most clinics set up multiple reactivations at different intervals for better results:
30 days - First gentle reminder (you just created this!)
60 days - Second follow-up with different wording
90 days - Final push before they're truly lapsed
💡 Important: For each additional interval, create a NEW email with slightly different content. This keeps it fresh and authentic. Duplicate your existing trigger and change the timing + email selection.
