✅ Send your first confirmation email (10 minutes)

Get a branded confirmation email sending automatically when patients book appointments.

🏆What you'll achieve:

Patients get a beautiful, branded confirmation email when they book

Time: 10 minutes

Prerequisites: You have Cliniko connected to Peptalkr


Step 1: Create your email (5 minutes)

  1. Go to Email manager → Transactional → Click Create an email

  2. Name it: "Standard Appointment Confirmation"

  3. Subject line: Appointment confirmed for [appointmentstart]

  4. From name: Your clinic name

  5. From email: Click show my domains and select a domain to send from

  6. Add recipients to a list: Select "Don't add to a list"

  7. Now the Build your email button will turn green - click it!

Choose a template

We've set you up with stunning email templates if you completed the personalised templates quiz - make sure you complete that step during onboarding or chat to us if you think you're missing the templates (or have old ones!)

  1. Click My Templates

  2. Select the ✅ Confirmation template to open the email builder

Customise the template

This template is ready to go with your brand and colours.

You can customise it more later, but for now just:

  • Check the cancellation policy is correct

  • Add/remove anything else you need

  • Click Preview to see how it looks

  • Click I'm done, return to snapshop

  • Scroll down and make sure you press Finish (no need to test it yet)

Step 2: Connect a trigger (3 minutes)

You'll see a message saying to Ready to start triggering. So head over to the Email Triggers screen.

  1. Click the plus button to create a trigger

  2. Name it: Confirmation - All appointments

  3. Trigger type: Automated Recurring

  4. Marketing email? No

  5. When to send: After an appointment is created

  6. Timing: 5 minutes (tick the confirmation box)

  7. Filters: Leave blank for now (sends to ALL appointments) - or learn about filters

  8. Frequency: Every time the conditions are met

  9. Template: choose "Standard Appointment Confirmation"

Click next to see a summary, then click Finish.

Step 3: Test it (2 minutes)

Now let's see what it will look like for a real patient with dummy data inserted.

  1. From the triggers screen, click the test icon (little email symbol) next to the trigger you just created.

  2. Check your inbox - you should get a test confirmation

  3. Check that: it looks good and important links work

Looks good? Turn the trigger ON!

What happens now?

Every time someone books an appointment in Cliniko:

  • Peptalkr sends them a confirmation immediately

  • It includes their appointment details automatically

  • It looks professional and branded


Don't forget!

⚠️ Turn off Cliniko's confirmations so patients don't get duplicates:

  • In Cliniko, go to Settings → Appointment Types

  • For each appointment type, set "Booking Confirmation Email" to "None"

Working great? Nice! Here's some ideas:

  • Send a Welcome email to new patients with a link to the intake form

  • If some appointment types have special instructions you need to send ahead of their arrival, create separate confirmations or send a "Before the appointment" email with instructions.

  • Send reminders before appointments

  • Request feedback after appointments
