Hello!

There is a difference between the types of emails you can set up and send. Here we will explain to you which email you need to be using for which tasks.

Emails that target your entire Cliniko database

Transactional (smart) email

Transactional (smart) emails are used to target specific audiences either automatically when certain actions occur, or as a one off blast. Anyone in your entire Cliniko database can receive these emails depending on your trigger settings. They do not need to be opted in for marketing. But you can still filter transactional emails to only target those opted in for marketing.

Triggers are the magic tool that can ensure the transactional (smart) emails are reaching the exact people they need to based on things that occur in Cliniko.

A good example of using a trigger to send a transactional (smart) email could be this:

Let's say a patient has seen a practitioner about a knee ailment, you may wish to set up a follow up email relating to knee ailments when certain conditions are met. For example, you could connect an email template to a 'medical alert' called 'knee ailment exercises'. In this email, you may have information on stretches they can do at home, videos, or any other information to help them feel like they have had a more personalised follow up relating to their specific concern. There can be a time frame so that the patient would receive it instantly or even a few days after the appointment depending on the content of the email. This is a great way to make personalised contact with a patient, without having to manually write and send emails - all you need to do is add that medical alert to the patient file during your appointment and voila - your email is scheduled!

Emails that only target your marketing list

Campaigns (one off blasts) that only target patients (or segments of patients) who are opted in for marketing.

For example:

You are able to specify who in your mailing list receives these emails by using segments. Segments are a way to categorise your marketing list into various groups. For example, if you needed to send a Campaign email only to patients who have seen a certain practitioner, you can segment those patients accordingly.
