How to create segments based on the appointment types or categories a patient has or will attended

Segment patients by appointment type to send campaigns and automated journey emails

In this article, we will show you how to segment your patients into appointment types that they have attended. This is great for when you need to send certain campaigns or journeys to people who have attended specific appointment types only. It is a great way to make sure you are targeting the correct people.

Rules you can choose when creating these segments:

  • Attended categories - Segment based on whether this patient has attended a certain appointment category.

  • Attended Types - Segment based on whether this patient has attended a certain appointment type.

  • Last Appointment - Segment based on the last appointment with your business.

  • Last appointment category - Segment based on the last appointment category with your business.

  • Last appointment type - Segment based on the last appointment type with your business.

  • Next appointment - Segment based on the next appointment with your business.

  • Next appointment category - Segment based on the next appointment category with your business.

  • Next appointment Type - Segment based on the next appointment type with your business.

  • Next individual appointment - Segment based on the next individual appointment with your business.

  • Next group appointment - Segment based on the next group appointment with your business.

  • Primary treatment type - Segment based on the next treatment with your business.

In this example, we will use Attended Types but you can be more specific with your needs by applying the other options to create the segment you need.


πŸ₯’ How to create segments based on appointment types πŸ₯’

Step 1: Go to 'Send Email'

Step 2: Click 'Lists & Subscribers' along the top of the page

Step 3: Click on 'Patients'.

IMPORTANT: You may be tempted to press 'Create a list' before selecting 'Patients' however, we are here to create a segment within your patient list so we will be doing that.

Step 4: Select 'Segments'. You will notice we already have some segments set up for you, have a look through those to see how you can utilise those in the future.

​Step 5: Click 'Create a new segment'.

  • Here you will see a drop-down menu, and you will select 'Attended Types'. Another drop-down menu will appear, and you can select 'contains' and then in the text box, you can type in the type of appointment for this segment.

    ​For example, if you are segmenting all 'Osteo' appointments you can type in 'Osteo', alternatively, if you are wanting all 'Massage' appointments you will type 'massage'.

    πŸ“ NOTE: When selecting 'contains' you can be sure that every type of appointment that contains the word 'Osteo' will be added to this segment.

    πŸ’‘ TIP: You can alternatively select 'Attended Categories' if you prefer to segment your patients by an attended appointment category, rather than specific appointment types.

  • Name your segment. Be clear with the segment name, such as 'Osteo Patients'.

  • Save and preview

You will then see a list of all of your patients that have now been added to that segment. This is now saved and can be used when creating a campaign or journey.


β€‹πŸ’‘ TIP: You can also create segments for patients who have had 2 different appointment types. For example, if you would like to segment patients who have had an osteo AND a massage appointment, this is how you can do it:

​Follow steps 1-4.

Step 5: Click 'Create a new segment'.

  • From the drop-down menu and you will select 'Attended Categories'. Another drop-down menu will appear, and you can select 'contains' and then in the text box, you can type in the first type of appointment for this segment. (for this example it is 'osteo')

  • Click 'AND'

  • Select 'Attended Types' and 'contains' from the drop-down boxes and then in the text box, you can type in the second type of appointment for this segment. (for this example it is 'massage')

  • Name your segment. Be clear with the segment name, such as 'Patients of both osteo AND massage'.

  • Save and preview.

You will then see a list of patients who have attended both osteo and massage appointment types.
