Update the referral source field in Cliniko automatically with a Peptalkr form

Peptalkr intake forms can ask the patient how they heard about your business and automatically set this as the patient's referral source in Cliniko πŸŽ‰

That way you can see their referral source in the Cliniko patient file:

And you can see reports for your referral sources in Cliniko:

How to set it up

The referral sources we list in your Peptalkr form must exactly match the wording of the referral sources in your Cliniko account.

We'll need this list, so go to:

Cliniko > Settings > Referral Sources (under Patients)

Here, you'll see a list of 'top level' referral sources. If the text is pink it means these are custom referral sources.

Sometimes, these custom sources contain more 'Sub-categories' inside them. So if you want your form to also track these 'Sub-categories' sources - click the pink sources to see if there are more.

Now you can provide us with your hierarchy of sources. You can click the link below for a template you can use to fill in your referral sources.

πŸ‘‰ Don't overcomplicate your referral sources. We want your clients to feel relaxed and comfortable when filling in the form, so minimise the number of sources where possible to limit any frustrations.


What if they were referred by an existing client? Will it link to the referring client in Cliniko?

Cliniko does allow you to 'link' a real client with a patient - however, we cannot do this 'linking' process automatically. What we can do is this:

If the respondent selects 'Patient' as the referral source, we will then ask them:

"Who can we thank for referring you?"

Whatever they type here, will map to the 'Extra information' field. You or your staff can then do the 'linking' part manually by editing the patient file, and typing the name of the referrer into the 'Referrer' field:

So your marketing reports will still capture 'Patient' as the referral source, but the actual link does need to be done manually.


What if they were referred by a contact?

The answer is exactly the same as above - however, 'Contact' isn't a very exciting way to ask a respondent how they were referred. So we generally will have an option such as:

"Another health practitioner"

Which will similarly, ask "Who can we thank for referring you?" if selected.

This will map to:

  1. Other (if you don't have a referral source named 'Another health practitioner' in your cliniko account

  2. Or, you can add a new referral source to match - e.g 'Another health practitioner' so you can still effectively report.

It's your choice whether you then manually edit these to be 'Conact' and link a referrer. But option 2 works well for most people.


What they select other?

Then we'll map their answer to 'Other'.

We always ask for more detail if they select 'Other' - so whatever they type will then go into the 'Extra information' field.
