ℹ️ Who this tutorial is for

If you have Telehealth enabled on some or all of your appointment types, this guide shows you how to set up a dedicated confirmation/reminder email or SMS that contains the Telehealth link.

If you offer Telehealth appointments, you'll want to send different messaging to those patients β€” including their Telehealth join link, as well as any custom instructions or wording that's different from your in-person bookings.

To do this, you need to create a separate confirmation or reminder that specifically targets your Telehealth appointments.

Have you set up any Peptalkr confirmations or reminders yet?

The complete steps are in the tutorials below, so use these to go through the usual setup steps, then come back to this article for the Telehealth-specific tweaks:

How to target Telehealth-enabled appointment types

This step refers to your Email Trigger settings or your SMS filter settings.

Option 1: Target by appointment type

Create a confirmation/reminder email that targets only Telehealth-enabled appointment types in your Cliniko account.

You'd do this on the Filter step when creating your email or SMS trigger:

Option 2: Create a Telehealth appointment category in Cliniko

If you offer several appointment types via Telehealth, consider grouping them into a Telehealth category in Cliniko.

  • Then in Peptalkr, target that entire category.

  • This gives you flexibility if you add more Telehealth services in future

Adding the Telehealth link to your message

To include the Telehealth access link in your email or SMS, use the Peptalkr personalisation variable:

[telehealthlink]

This will automatically populate the unique join link for the patient’s upcoming Telehealth appointment.

Example email line:

You can join your Telehealth appointment by clicking this link: [telehealthlink]

Or embed it in a button if using the email editor:

  • Link the button to: [telehealthlink]

  • Label the button: Join your Telehealth appointment

⚠️ This link will only populate if the patient has a valid upcoming Telehealth appointment. Make sure your filters only target Telehealth appointment types.

Avoid message overlap

If you already have other confirmation or reminder emails in Peptalkr, make sure to exclude Telehealth appointment types or categories from those email or SMS triggers.

This prevents double messaging and ensures the Telehealth-specific version takes over:

πŸ’‘ Helpful Tips:

  • Adjust the wording to match virtual consult expectations (e.g. no need to arrive early, test internet beforehand, etc.)

  • You can create different versions for SMS and Email, depending on how much detail you want to provide.

🎯 Final Checks:

βœ”οΈ Test your email before enabling automation

βœ”οΈ Ensure your trigger is correctly targeting the right appointments

βœ”οΈ Check delivery reports to monitor email success

πŸš€ That’s it! You’re now set up to send tailored Telehealth confirmations and reminders that keep your virtual consults running smoothly.
