How to segment patients based on which practitioner they see

In this article, we will show you how to segment your patients into which practitioner they see in their Cliniko file. This is great for when you need to send certain campaigns or journeys to people who have a specific practitioner. You can use this segment to send their patients information that is only relevant for that practioner.

Custom fields you can use for this kind of segment:

  • Practitioners seen - Segment based on a patient seeing this practitioner at any point in their appointment history.

  • Primary practitioner - Segment based on this practitioner being the one this patient sees most of the time interacting with your business. For example, if they have visited your practice 10 times and have seen this practitioner majority of those visits, that would be their primary practitioner.

  • Last practitioner seen - Segment based on who this patient last saw at your business.

  • Last Telehealth practitioner - Segment based on the last Telehealth practitioner this patient last saw at your business.

  • Last *something* practitioner - You will see a number of these segments depending on the appointment Categories you have in your Cliniko account. For example, you might have the option of Last podiatry practitioner or Last physiotherapy practitioner. This will segment based on the last of that kind that the patient saw.

  • Next *something* practitioner - You will see a number of these segments depending on the appointment Categories you have in your Cliniko account. For example, you might have the option of Next podiatry practitioner or Next physiotherapy practitioner. This will segment based on the last of that kind that the patient saw.

In this example, we will use Practitioners seen but you can be more specific with your needs by applying the other options to create the segment you need.

Step 1: Go to 'Send Email'

Step 2: Click 'Lists & Subscribers' along the top of the page

Step 3: Click on 'Patients'.

πŸ‘‰ You may be tempted to press 'Create a list' - however, the list named 'Patients' is in sync with Cliniko, so you will be creating your segments inside that list. You'd only create a new list if you want a totally separate database - such as 'leads' or 'Competition entries'.

Step 4: Select 'Segments'. You will notice we already have some segments set up for you, have a look through those to see how you can utilise those in the future.

​Step 5: Click 'Create a new segment'.

  • Here you will see a drop-down menu. From this menu, you may select 'Practitioners Seen'

Tip: The Practitioners Seen custom field is a comma separated list of all practitioners that patient has ever seen, so please enter the first and last name of the practitioner if you have some practitioners with the same first name to avoid overlap.

  • Another drop-down menu will appear, and you can select 'Contains' and then in the text box, you can type in the practitioner that applies.

  • Name your segment. Be clear with the segment name, such as 'Monique's Patients' then press 'Save and preview'.

You will then see a list of all of your patients that have now been added to that segment. This is now saved and can be used in Campaigns or Journeys.

Segments are not applicable to Transactional email. They are just for marketing segmentation. Transactional email allow you to configure with even more specificity who to target, as part of the trigger creation process.
