In this article, we will show you how to segment your patients into which practitioner they see in their Cliniko file. This is great for when you need to send certain campaigns or journeys to people who have a specific practitioner. You can use this segment to send their patients information that is only relevant for that practioner.
Rules you can choose when creating these segments:
Last practitioner seen - Segment based on who this patient last saw at your business.
Last Telehealth practitioner - Segment based on the last Telehealth practitioner this patient last saw at your business.
Last *********** practitioner - You will see a list of specialities to choose from as the last practitioner. For example, you might have the option of Last podiatry practitioner or Last physiotherapy practitioner. This will segment based on the last of that kind that the patient saw.
Next *********** practitioner - You will see a list of specialities to choose from as the next practitioner. For example, you might have the option of Next podiatry practitioner or Next physiotherapy practitioner. This will segment based on the last of that kind that the patient saw.
Practitioners seen - Segment based on patient seeing a practitioner of this kind.
Primary practitioner - Segment based on this practitioner being the one this patient sees most of the time interacting with your business. For example, if they have visited your practice 10 times and have seen this practitioner majority of those visits, they will be included in this segment.
In this example, we will use Practitioners seen but you can be more specific with your needs by applying the other options to create the segment you need.
π₯ How to create segments based on which practitioner the patient sees. π₯
Step 1: Go to 'Send Email'
Step 2: Click 'Lists & Subscribers' along the top of the page
Step 3: Click on 'Patients'.
IMPORTANT: You may be tempted to press 'Create a list' before selecting 'Patients' however, we are here to create a segment within your patient list so we will be doing that.
Step 4: Select 'Segments'. You will notice we already have some segments set up for you, have a look through those to see how you can utilise those in the future.
β
βStep 5: Click 'Create a new segment'.
Here you will see a drop-down menu. From this menu, you will have a few options as to which practitioner type is relevant to this segment. Options are:
βLast practitioner seen - This will only include the most recent appointments practitioner. If a patient has seen different practitioners at your business it will only add them to this segment if the practitioner you choose was the LAST person they saw. If they have seen a different practitioner since then, they will not be added to this segment.
Last Telehealth practitioner - This will only include the most recent Telehealth appointments practitioner. If a patient has seen different Telehealth practitioners at your business it will only add them to this segment if the practitioner you choose was the LAST person they saw. If they have seen a different Telehealth practitioner since then, they will not be added to this segment.
Practitioners seen - Patients who have, at any time, seen the practitioner/practitioners that you choose will be added to this segment.
Primary practitioner - This will segment those who have this practitioner as the main/primary practitioner that they see at your business, even if they have seen other practitioners.
In this example, I will use Practitioners seen.
Another drop-down menu will appear, and you can select 'matches exactly' and then in the text box, you can type in the practitioner that applies.
Save and preview
You will then see a list of all of your patients that have now been added to that segment. This is now saved and can be used when creating a campaign or journey.
βπ‘ TIP: You can also create segments for patients who have had 2 different practitioners. For example, if you would like to segment patients who have seen 'Monique Clark' AND 'Dr John Smith' This is how you can do it:
β
βFollow steps 1-4.
Step 5: Click 'Create a new segment'.
From the drop-down menu and you will select 'Practitioners seen'. Another drop-down menu will appear, and you can select 'matches exactly' and then in the text box, you can type in the first medical alert for this segment. (for this example it is 'Monique Clark')
Click 'AND'
Select 'Practitioners seen' and 'matches exactly' from the drop-down boxes and then in the text box, you can type in the second practitioner for this segment. (for this example it is 'Dr John Smith')
Name your segment. Be clear with the segment name, such as 'Patients who have seen Monique Clark and Dr John Smith'.
Save and preview.
You will then see a list of patients who have seen both 'Monique Clark' and 'Dr John Smith' at your business at any time.
