Create a transactional template
Updated over a week ago

Creating a transactional email template is the crucial first step in a two-part process aimed at sending transactional emails within Peptalkr:

  1. Creating an email template (these instructions)

Here's how to create a new transactional email template in Peptalkr:

1. Getting started

Navigate to the 'Send Email' tab in your Peptalkr dashboard, then select the 'Transactional' in the top bar.

2. Create a new email

Click on the green 'Create an Email' button located at the top right corner to begin crafting your new template.

3. Fill in the settings

Now just a few essential settings to fill in:

One: Name This Email

Enter a descriptive name for your email. This name will appear in your reports and email archives, helping you to easily identify this template later.

Two: Write a Subject Line

Craft a subject line that clearly communicates the purpose of the email. Make it engaging, not too long and direct to encourage opens.

πŸ’‘ Did you know you can insert personalisation into the subject line? Try inserting the patient's first name, the date of their appointment or anything else relevant to the purpose of this template. Click here for a copy-paste list of all personalisation variables you can use.

Three: Who Is It From?

Set the sender 'From' name and email address.

From name: You may just enter your business name, but depending on the email you're sending you may insert the name of the treating practitioner by using the practitioner variable.

From email: Click on 'show my domains' to select the @domain.com you'd like to send this email from. Enter the first part of the email in the field to the left.

To enhance trust and recognition, you should use your own sending domain. Note that you must verify your domain with Peptalkr to select it from the dropdown. This verification process ensures that your emails are far less likely to filtered by junk mail and that your emails maintain a professional appearance.

Four: Add Recipients to a List

Since Cliniko patients are already automatically synced into your subscribers based on your settings, you should always select 'Don't add to a list' from the dropdown.

Five: Build Your Email

Once all the necessary fields are correctly filled, click the 'Build Your Email' button to proceed to the email builder. This button will remain greyed out if any field is not properly completed.

πŸ€” Common reasons why the build button is greyed out:

  • Not selecting a domain from the 'Show My Domains' dropdown can prevent progress. Ensure your domain is verified and selected.

  • Not selecting 'Do Not Add to a List' from the 'Add recipient to a list?' dropdown.

4. Design your email

Now for the fun part! Select a pre-built template to get started or use a 'recent email' you've already worked on to copy over your customisations into a fresh template.

Go ahead and add your text, sections, images, colours, logo and anything else to make your email effective. Need more guidance? Read our instructions on using the drag and drop builder.

5. Press Finish

Once your template is ready, and you've pressed 'Preview' then 'I'm done, return to snapshot' - it's critical that you press the finish button at the bottom of the screen to publish your template.

Don't worry - it won't start sending until you connect a trigger.

πŸ‘‰ Sending tests - you can press 'Send a test' to email yourself or anyone else in your team a copy of the template. Just remember that any personalisation variables you've entered will be blank in the test. To test your variables, go to the connect a trigger step and follow the instructions on testing from there to see real data inserted into your variables.

6. Connect a trigger

Woohoo! Now you can connect a trigger which only takes 2 minutes.

Ready to start triggering popup got you confused?

There's no need to 'view the code' - this is just for advanced use cases only (such as users who have an app they want to integrate Peptalkr into) - all you need to do is go to the Triggers tab and create a trigger - it's all handled automatically 😊

By following these steps, you'll create a transactional email template that's ready to be paired with a trigger, automating the process of sending targeted and timely emails to your patients πŸŽ‰
